What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

We partner with a number of vendors to supply the best products and services on the market today, and we may from time-to-time share your information with these partners for account creation, and product and/or service rendering purposes only (i.e. if you purchased a product or service via our website, and it was provided to you by the vendor). We do not share our customer data with these partners for any other reason. A complete list of who these partners are is available by contacting us directly. 

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We will store your data for as long as you are a customer with us, and we will retain records of our customers for any compliance or regulatory reasons under the laws of the Commonwealth of Australia, and the State of New South Wales. Retention of data may be subject but not limited to; 1. transaction data for accounting and taxation purposes. 

What rights you have over your data

If you have an account on this site and with WebGi, or have left comments or have an account with us, or have purchased a product or service in the past, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service. Customer information may be checked through a fraud checking service, and customer credit card details sent through a payment gateway. Your information will be exchanged with our bank if you choose to pay via direct bank transfer. If you opt to sign up for a direct debit service your information will be sent and processed through the GoCardless network.

How we protect your data

We employ the latest IT security software, and methodologies to protect your personal and other sensitive information. We use encryption-based technologies to ensure your data is held and retained in such a way that ensures its protection and security at all times. We hold your data within facilities that are rated at the high end of industry standards when it comes to security. 

What data breach procedures we have in place

We will notify all affected clients in the event a data breach takes place, and we will actively take steps to mitigate further exposure of customer data by isolating affected data, and/or taking data temporarily offline while we investigate the root cause of the data breach (provided it does not affect customers continuity of service). If, however in the event that we discover that your website and/or applications need to be taken offline to further protect your data, as well as the integrity of our networks we will temporarily suspend your service pending the outcome of the remediation work that our technicians and security experts will carry out.

What third parties we receive data from

We receive data from third parties which enable and assist us to serve our customers better, and provide top-of-the-line and quality service every time. Therefore, we rely on outstanding companies to provide their market-leading products and services to us, so that we can help you better. We may therefore receive information that is likely to improve the way in which we notify our customers, or potential new customers of our exciting new products and services, this may be in the form of data analytics, or statistical data that may come from Google and its subsidiaries, and/or affiliated companies. We may also receive statistical or analytical information from Facebook, and their affiliated brands (including Instagram), and we may also receive information from MailChimp for the purposes of providing more improved and relevant newsletter information and notifications to our customers on our latest news and special offers. 

What automated decision making and/or profiling we do with user data

We may run automated product re-targeting via Mailchimp for the purposes of providing you with more improved products and services. We may notify you via MailChimp if you've left items in your account (un-purchased), and we may also provide you with notifications at the completion of your purchase to recommend other products and services that may be necessary for the purchased products and services to be used better. We may also use your prior purchases to notify you of product updates at a later stage (post purchase) of the original product or service in order to help you maintain relevant and up-to-date products in your account. 

Industry and/or Government regulatory disclosure requirements

Under Australian Commonwealth Law we also have obligations to notify the Australian Government Office of the Australian Information Commissioner in the event that a data breach has taken place, and we are obliged under the law to report any breach of personal information that has taken place that could result in serious harm. More information on 'Notifiable Data Breaches' can be found at the Office of the Australian Information Commissioner's website. We also have obligations to report breaches to affected individuals, and we will do so immediately (as soon as we become aware of a breach).

We may be obliged to provide data and/or information (in some cases without informing the customer) to an Australian, State and Territory law enforcement or statutory agency, or we may be obliged to provide information following a request by an Australian State or Territory court or tribunal (subpoena) (again in some cases without informing the customer).
